We are currently recruiting for an Administrative Assistant to join our team! Problem solver who has excellent communication skills and impeccable attention to details. Performs administrative tasks, provides support to coworkers, manages complex schedules, listens well, captures and follows-up on actions, and meets challenging deadlines. Schedules, organizes, and orchestrates customer visits, lunches, dinners, and company events. Greets visitors, answers phones, directs calls to appropriate personnel.
Physical Requirements:
Must be able to sit for extended periods of time. Must be able to carry out computer data entry when required.
Job Duties/Responsibilities:
· Provides administrative support to senior leaders, including email correspondence, generation and distribution of memos, letters, spreadsheets, forms, and faxes
· Provides front-desk coverage, greeting guests and employees as they enter the office, directing them to appropriate personnel or meeting places, managing incoming/outgoing mail and voice messages, and maintaining an organized, clean office environment
· Plan, organize, and orchestrate support for company meetings, onsite and offsite, including food orders, food deliveries, seating, whiteboards, projection equipment, room setup, etc
· Prepares meeting agendas and takes meeting minutes
· Ensure cost effective availability of office supplies
· Inputs and updates information in databases and spreadsheets.
· Ensure timely and proper preventive maintenance of office equipment. Operate various office machines, computers, copiers, facsimile, paging system, etc
· Researches, compiles, and summarizes information for reports or presentations.
· Works with sensitive information with discretion to maintain confidentiality and security
· Ensures that deadlines are met and adapts to changing priorities
· Presents a positive, energetic, professional image for the organization
· Performs other duties as requested
Job Requirements:
Possess excellent organizational and communication skills. Proficient in knowledge and skills of office equipment and knowledgeable in Microsoft Word, Excel and Outlook computer programs. Excellent customer service and people skills. Must be able to learn new software applications as required.
Job Qualifications:
High school diploma or equivalent. Experience in various office positions helpful.
